SECTION A - RESPONSIBILITIES & PROCEDURES


The WMBA’s Gym Supervisors are representatives of our Association who monitor and assist at game sites, ensuring that the games flow smoothly and without incident. All WMBA Gym Supervisors must:

 

  1. Wear the WMBA T-shirt provided to them.
  2. Arrive at the gym at least 30 minutes prior to the first game (8:30 AM, in most cases)
  3. Identify yourself to the on-site caretaker of who you are and be sure the basketball hoops are in place and at their correct level, team benches and score table is out, lights are on in the gym and washrooms.  Dressing rooms and all other areas should be locked and off-limits.  If you notice any damage to the school prior to the games, bring it to the janitor’s attention as soon as possible.
  4. Ensure that the outside entrance to the school remains unlocked throughout the day (some janitors will lock the school after the first game has started).
  5. Ensure there are pads attached to the walls under each hoops.  Ask the janitor for help locating the mats if needed.  Remove any obstructions either on or off the court which may pose a safety risk.  Ensure all floor holes are covered with a plate and taped down (use provided floor tape)
  6. Set the basket heights (if applicable) at the measurements indicated in this manual as defined by the WMBA.  Use the measuring stick / tape measure to correctly set the level.
  7. Mark with masking tape the freethrow line to the correct distances as defined by the WMBA in this manual.  Use a strip of about three feet to mark the line.  Remove the tape at the end of the day.
  8. Set-up the scoretable with the portable timer, flip-scorer, possession arrow, pens, and scoresheets.  The table is set between the team benches.
  9. Ensure that each participating team provides one scorekeeper (one timer & one scorer) for each game.  Instruct the parents on how to scorekeep.  Use the laminated sample scoresheet provided as an example.
  10. Have each coach complete the scoresheet with full names, numbers and team name prior to the game.  Each scoresheet must also have the date, time, location, age division, winning team and final score indicated on it.
  11. Games must start on time at the top of the hour and end 5 minutes before the next game is scheduled to begin - NO EXCEPTIONS.  Please note that there is no overtime play with exception to the playoffs.  If necessary, discuss with the referees if the game must be shortened to finish on time.
  12. Complaints, appeals, suspensions, and flagrant / unsportsmanlike technical fouls must be documented on the reverse of the white copy of the scoresheet.
  13. If there is a major incident (fighting, verbal abuse, etc.) please call Executive Director ASAP to inform the WMBA of the situation.  Make notes of what exactly happened and pass them onto the league upon request.
  14. Ensure that you collect the white copy (original) of the scoresheet for the league.
  15. Record the result on the WMBA Game Result Sheet and get ready for the next game.
  16. Ensure that both teams clear out of the gym as soon as the game is complete to get the next game going.  Repeat steps 6-15 for each game throughout the day.
  17. Ensure that there is NO smoking anywhere in the school or any drinks or food allowed in the gym.
  18. If the fire alarm were to sound during the day, immediately find the on-site janitor / security guard to see if it is a false alarm.  If you cannot find the person at the school, evacuate the premises immediately and do not return until it has been cleared by the fire department or janitor!
  19. Watch for irate parents and remind them that the league is meant for everyone to have fun!  Refer to the Fair Play Policies in the WMBA Handbook.
  20. If only one referee shows, play on.  If both don’t show, have one of the coach’s referee.  Call the Head Referee Assignor(s) to notify them of the no-show and make mention of it when calling in the scores.  Also make a note on the back of the white scoresheet of the no-show or late arrival.
  21. Keep track and take care of all the equipment provided by the WMBA and that it is not lost or stolen.  Be sure that you leave with what you came with (refer to the inventory list).
  22. Keep control of the game balls at the end of the game and ensure they are not lost or stolen.  
  23. Remove the freethrow line tape on the floor if you marked it earlier in the day.
  24. LEAVE THE GYM IN THE SAME CONDITION (or better) THAT YOU FOUND IT!  Pick up any garbage or items left behind.  Keep any valuable items found (shoes, balls, etc) and report it to the league office the next day.  Ensure the school is vacated as soon as the last scheduled game is completed.
  25. Mail the original scoresheets (white) and any other forms you received during the day (Letter of Intent, Incident Report, Team Registration Form, etc.) to the WMBA Statistician in the postage paid addressed envelope provided at the end of the day.  Stop by a mailbox on the way home, we need these scoresheets ASAP!
  26. Complete the WMBA Game Result Sheet throughout the day and use it to call in the day’s scores, incidences and referee attendance to the WMBA Result Line (925-5799 - code 3508).  Please call in your scores before 8:00 PM (or sooner) at the end of your game day.  These results are forwarded to the media and the members of the WMBA.

Each WMBA Equipment Package has been equipped with the following:

1 - Measuring Stick (for hoop heights - provided to select Gym Supervisors)
3 - Basketballs, sizes 5, 6, 7 (refer to WMBA Handbook for specific ball size use)
1 - Mesh ball bag
2 - Whistles (to be used and returned by referee who forgets their whistle)

1 - ‘Egg timer’ to track substitutions & timeouts 
1 - Hand pump with extra pins
1 - Roll of clear packing tape

These items are for emergency purposes only.

It is the gym supervisor’s responsibility to ensure that all the equipment is accounted for each week.  It is also their responsibility to transport the equipment to and from the gym every week.  Lost, damaged or the need for additional items must be reported to the league office ASAP!
